What Should You Put on Your Name Badges? EventGarde x Results at Hand

One detail event planners may look past is the name badges for the event. A name badge is an essential detail for any conference, trade show, or meeting because of the networking opportunities they open up. So what should you put on your attendee’s name badges to ensure your name badges are as professional and informative as possible? Here’s what EventGarde‘s Kate Pojeta suggests:

The Basics

  • Name: This part of the name badge can be simple! Ensure the event-goers name is clearly visible and spelled correctly. You can also give attendees the opportunity to change their name to a preferred name to make the name badge even more personal.
  • Title & Organization: Including a title and organization in the name badge isn’t always essential. Depending on the type of event, you may not need to include everyone’s professional title or the organization they represent.
  • Membership Status: Sometimes event sessions are only accessible to certain membership statuses, so including this on your name badges could be beneficial for ease of admittance into the session.
  • Conference Logo/Name/Date: Including the conference logo/name/date can be good marketing for your organization, but make sure it doesn’t take up too much room and hinder from the other important information on the name badge.

The Extras

Consider adding the following elements to your name badges depending on the amount of space you have and the type of event you’re hosting:

  • Registration Details: You can also include registration details based on the type, day, and event. If your event has multiple days, you can color-code badges or include a defining icon on the badges based on the days that the event-goer is attending.
  • Pronouns: Giving your attendees the opportunity to include their pronouns on their name badge creates an inclusive and welcoming event for your event-goers. You can give attendees the option to include their pronouns or leave the section blank if they prefer.
  • Certification: It may be nice to include your event-goers certification on the name badges. Depending on the event, this detail can enhance networking opportunities. However, be cautious with this element, as you want to ensure every certification is an option, the title is capitalized, punctuated, and spelled properly, etc.
  • Talking Point: If your event plans to use larger badges, including an “ask me about” portion to the name badge can also enhance networking opportunities for your attendees. You can also make this detail optional.
  • QR Code/Barcode: Including a QR code or barcode on your name badges is helpful for many different aspects of your event. If your event plans to track CEU credits, QR codes/barcodes make keeping track of attendance quick and easy. In addition, if your event plans to use Lead Retrieval software as part of the networking element, QR codes and barcodes make scanning and saving contact information simple and effective.

The Back

Depending on your event, you can also consider adding details to the back of your name badge. Usually, these elements are only beneficial to the person wearing the name badge, as other attendees generally will only see the front. EventGarde generally recommends selecting 2-3 of the following options for inclusion on the backside of your name badges:

  • Event Schedule: Quick and easy access to the event schedule is helpful to attendees who are constantly in and out of meetings and sessions. If your name badges are too small to accommodate full schedules, consider adding a QR code or link to an online schedule.
  • Event Contact Number: Adding an event contact number for attendee customer support can be beneficial for attendees who run into any problems throughout your event.
  • Emergency Information: Consider adding a few blank lines for attendees to write in emergency contact information.
  • WiFi Access Instructions
  • Social Media Tags/Handles/Links
  • QR Codes and URL to the Mobile Event App
